Printer offline: what does it mean and what can you try?

“Offline” does not always mean the printer is broken. A network connection, stuck print job or Windows setting may be responsible.

Quick checks

  • Confirm the printer is powered on and shows no error light.
  • Check that the printer and computer use the same network.
  • Look for a stuck job in the print queue.

Common causes

  • The printer joined a different Wi-Fi network.
  • An old print job is blocking the queue.
  • Windows selected a different default printer or has a driver issue.

Try this order

  • Restart the printer and computer, then check the queue.
  • Select the correct printer again in Windows.
  • If it keeps returning offline, have the network and printer setup checked.
